Job Summary:
We are seeking a highly organized, proactive, and adaptable Executive Assistant to support a senior executive within our leadership team. This part-time role is ideal for someone who thrives in a dynamic environment and can bring a blend of administrative expertise and flexibility to streamline operations. The position will primarily support our CEO, with the potential for light support to other executive team members, as appropriate.
Key Responsibilities:
- Administrative Support:
- Managed and prioritized a high volume of approval requests, including signatures, physical documents, and FedEx shipments.
- Assist with expense reporting and ensure timely submission and reimbursement processes.
- Organize and manage the executive’s email inbox to ensure no critical communications are missed.
- Coordinate responses to incoming inquiries and follow up to ensure timely resolution.
- Efficiency and Prioritization:
- Help prioritize incoming requests and tasks based on urgency and importance.
- Provide support for scheduling and calendar management to enhance efficiency.
- Communication Management:
- Act as a point of contact for inquiries, ensuring effective and professional communication.
- Streamline communication to reduce duplication and missed responses.
- Collaboration and Flexibility:
- Be open to assisting other members of the executive team as appropriate, while ensuring the CFO’s priorities remain the focus.
- Balance competing demands with discretion and tact to avoid overutilization by other executives.
- Trust and Confidentiality:
- Build a trusted relationship with the CFO to take on more responsibility over time.
- Handle sensitive information with the utmost confidentiality and professionalism.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting C-suite executives.
- Strong organizational skills with excellent attention to detail.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- Ability to prioritize and manage multiple tasks with minimal supervision.
- Discretion and ability to handle confidential information.
- Flexibility to adapt to changing needs and take on diverse responsibilities.
Preferred:
- Familiarity with expense reporting systems and document management tools.
- Based in Las Vegas, NV, to facilitate in-person support when required.
Working Hours:
Part-time hours with flexibility based on the executive’s needs.
The US base salary range for this full-time position is $25 - $40 per hour. Our salary ranges are determined by role, level, and location. The range for each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Candidates who exceed the specified experience and relevant education or training may be considered for compensation above the stated range. Please note that the compensation details listed reflect base salary, and certain positions may be offered additional variable incentives.
